Privacy Policy
My Pilot Journey is a personal flight-training progress and expense tracker. This policy explains how the current app is designed to handle data.
Information you provide
When you sign in, Firebase Authentication processes your account email, sign-in provider and account identifier. You may add flight sessions, hours, aircraft, expenses, milestones, a pilot name, and training-budget preferences. These records are stored in a Cloudflare D1 database, associated with your Firebase account identifier.
Guest demo
Demo data is fictional and not uploaded as your personal cloud account information. Guest entries you deliberately create may remain in your browser's local storage.
Optional analytics
Google Analytics 4 may load automatically where applicable rules permit, with an opt-out in the website footer. In the EEA, UK, Switzerland, and when location is unavailable, it remains disabled until you opt in. Global Privacy Control requests are honored by disabling optional analytics. It may process page visits, approximate location, device/browser data, and site interactions according to Google’s practices. We configure analytics without advertising personalization and do not intentionally send names, email addresses, flight notes, or expense amounts. Turning off analytics does not affect the application. Use “Analytics preferences” in the footer to change your choice. Optional first-party analytics cookies are cleared where accessible when you opt out.
Optional campaign attribution
If you visit using a referral link (for example, ?ref=flightclub), we may associate that campaign code with a newly created account to understand how pilots discover My Pilot Journey. This code does not contain your flight training records, and our growth dashboard displays aggregate signup counts. The referral association is removed when the corresponding account is deleted from active records.
Service providers
The site uses Cloudflare for hosting and database storage, Firebase/Google for authentication, Google Analytics for optional usage statistics, and PayPal for voluntary monthly support payments. PayPal handles subscription payment details; do not enter payment data into training notes. These services may process technical data needed to provide or secure the application.
Authorized administrative access
A designated, verified service administrator may access individual account profiles and saved training records (including flight details, routes, notes, expenses, and milestones) through a restricted administrative interface for operating, supporting, and improving My Pilot Journey. These records are not publicly visible to other pilots. Access is limited to the authorized operator and is not a substitute for official flight-log verification.
Security and controls
Your cloud data is accessed through a backend that checks signed Firebase identity tokens and scopes data requests to a user identifier. You can download a backup and request deletion from account controls. Removing a Firebase account may require recent reauthentication. No system can guarantee perfect security.
Data retention
Saved data remains in your account until you delete it or the service retention policy changes. Browser-local data remains until cleared. Operational logs and third-party service retention are subject to their respective settings and policies. When you delete your account, associated training records and account profile data are removed from the active application database. We do not offer an account-recovery period. Residual database history may remain temporarily in Cloudflare’s provider-managed recovery system for up to 30 days, depending on the provider plan. Provider operational logs may follow separate retention schedules. Firebase Authentication identity removal is attempted as part of the deletion process; if it fails, the app displays instructions to complete the remaining step.
Email reminders
For signed-in users, optional email reminders are initially enabled. We may send a check-in after 7 or 30 days without a dashboard visit, or congratulate you on a newly recorded milestone. We use your account email and last dashboard visit for this purpose. You can turn off all reminders anytime in the dashboard account menu using the Email reminders checkbox, or by following the preferences link included in every reminder email.
